JOB OVERVIEW

Business Support Specialist will provide a variety of business support in different projects to all R&D departments in Europe and NAM according to set policies and procedures. The role encompasses a variety of standard tasks and functions to assist the business unit. Serving as the first point of contact for numerous stakeholders, the role significantly influences the perceived reputation of the department it represents. 
Excellent interpersonal and communication skills are required, as demonstrated by the ability to work effectively with others at all levels of the organization and externally.

Tasks may include support in different projects, processes and systems, with usage of modern digital tools.

Typical Accountabilities

  • Support in administrative tasks such as organizing business travels, setting expenses, ordering goods and coordinating internal meetings
  • Exhibit a comprehensive understanding of business operations and a strong dedication to customer satisfaction to effectively support a specific customer group
  • Initiate or engage in projects focused on improving administrative processes
  • Actively contribute to knowledge sharing within the Team while identifying opportunities for improving administrative processes and workflows, striving for more efficient operations
  • Participate in training and development programs for specialists or other relevant training initiatives
  • When required support various projects requested by R&D departments in Europe and in NAM (such as Purchase orders processing, Capital Management, etc.) by organizing materials, tracking progress, and coordinating with team members
  • Collaborate with cross-functional teams to ensure data integrity and quality
  • Proactively promote modern digital tools like Modern SharePoint, MS Teams, MS Forms to help maintain “Digital R&D”
  • Meet all SLAs and KPIs established for R&D Central Business Support Team
  • Assure all activities are compliant with AZ rules, values and behaviors

Qualifications, skills and experience:
Essential:

  • Fluency in English (min B2)
  • Prior business support or customer service type of experience (min 1 year)
  • Advanced proficiency across a broad range of administrative processes and procedures
  • Ability to exercise considerable discretion, judgment, tact and diplomacy
  • Demonstrated abilities to take the initiative to respond to rapidly changing priorities
  • Attention to details, multitasking, excellent organizational skills with a meticulous approach to tasks
  • Excellent interpersonal and communication skills as demonstrated by the ability to work effectively with others at all levels of the organization and externally
  • Demonstrated ability to work successfully in a team environment
  • Excellent knowledge of working with IT tools and MS programs: Microsoft 365 applications, quick learning and implementation of new digital tools
  • Experience of working in a fast-paced global environment balancing competing priorities
  • Ability to communicate effectively and confidentially with local and global stakeholders
  • Agility, flexibility and adaptability to meet changing business demands

Desirable:

  • Experience in communication with high level stakeholders
  • Identify inconsistencies or discrepancies in data and troubleshoot potential issues
  • Analytical skills with the ability to process and synthesize large volumes of information
  • Some project management skills to effectively manage small projects on behalf of the stakeholder/ line manager would be considered as advantage
  • Microsoft PowerPoint and Adobe skills
  • Microsoft Excel
