About the Role

We are looking for a highly organised and proactive Business Unit Assistant to join our team in Croatia. In this role, you will provide essential administrative and operational support to our Commercial and Medical teams, helping to coordinate marketing, promotional and medical activities across key therapeutic areas.

This is an excellent opportunity for a detail-oriented professional who enjoys working in a fast-paced environment, managing multiple priorities and collaborating with a wide range of stakeholders. You will play a key role in ensuring events, projects, documentation and business processes run smoothly and compliantly.

Key Responsibilities

Event Management & Promotional Activities

  • Support the planning, coordination and execution of marketing and medical events in partnership with internal stakeholders and external agencies.

  • Coordinate vendor onboarding, purchase orders, invoice tracking and payment processes.

  • Support travel and accommodation arrangements for healthcare professionals.

  • Manage and maintain event documentation in line with company procedures and compliance requirements.

  • Ensure accurate event close-out, including documentation reviews, payment verification and record completion.

  • Assist with the adaptation, localisation and approval of promotional materials and content.

  • Prepare donation and sponsorship agreements in collaboration with project owners.

  • Utilise systems including Veeva PromoMats, Veeva CRM Meetings, SAP, Coupa and AdobeSign.

  • Monitor promotional material inventory and warehouse records.

  • Maintain healthcare professional consent records and associated databases.

  • Complete required compliance and process training to maintain operational excellence.

Business Unit Support

  • Assist with internal communication activities and initiatives.

  • Coordinate meetings and prepare presentations, reports, spreadsheets and supporting materials.

  • Manage suppliers and purchase orders in accordance with procurement processes.

  • Support sales data tracking and reporting where required.

  • Maintain records, databases, reports and business documentation.

  • Perform document scanning, filing, printing and archiving activities.

  • Provide administrative support to the Business Unit Director and wider team.

  • Support cross-functional projects, events and business initiatives.

Team Collaboration & Backup Support

  • Collaborate closely with colleagues across Commercial, Medical, Finance, Procurement and Administration teams.

  • Provide backup support for other Business Unit Assistants and Reception/Office Administration colleagues when required.

  • Contribute to organisation-wide events and initiatives.

What We're Looking For

Essential Qualifications & Experience

  • Bachelor's degree.

  • Minimum two years' experience in an administrative, coordinator or business support role.

  • Strong proficiency in Microsoft Office (Outlook, Excel, Word and PowerPoint).

  • Comfortable learning and working with new digital tools and software platforms.

  • Excellent written and verbal communication skills in both Croatian and English.

  • Exceptional organisational, planning and prioritisation abilities.

  • Analytical and structured approach to work.

  • Strong problem-solving skills and a solution-oriented mindset.

  • Proactive, accountable and flexible working style.

  • Ability to build effective relationships and collaborate across teams.

  • Strong willingness to learn and develop.

Desirable

  • Experience supporting larger business units or departments.

  • Experience working in cross-functional environments.

  • Exposure to the pharmaceutical or healthcare industry.

  • Valid Category B driving licence.
