What you’ll do

Job Description / Capsule

In addition to basic support, individual may support more Senior Managers and provide broader department support to a number of managers.  Tasks may include booking meetings, maintaining documentation, establishes systems and structures for day to day functioning of their responsibilities.  In some instances may supervise others and allocate resources as necessary.

Typical Accountabilities

Support Marketing team:

  • Meet with sponsors and organizing committees in order to plan the scope and format of events, establish and monitor budgets, and review administrative procedures and event progress;
  • Execute events, manage logistics of events, and make sure preparations related to events are taken care of from beginning to end; Manage event budgets;
  • Identify recommendations to improve or modify future events.
  • Oversee hotel/venue site selection and inspection (if needed);
  • Negotiate contracts with such service providers and suppliers as hotels, convention centres, catering services, and airlines;
  • Work closely with Procurement on bidding procedure and selection vendor, and conduct PR/PO. Support agency management with regular feedback for improvement;
  • Support on the admin site for 3PRM procedure in evaluation, introducing new vendors, or re-assessment of the existing vendors;
  • Direct multiple service contractors for large-scale events and trade shows;
  • Manage marketing activity calendar;
  • Network with and establish relationships with health authorities for meeting licenses;
  • Effectively and efficiently participate in all Marketing activities.

Support Field Force team:

  • Organize big-scope events or logistics and documentation support for field activities on request;
  • Support the Field force team in logistic arrangements for business trips;
  • Process payment to HCP/HCO timely and correct, providing payment advice to Field Force per request;
  • In-charged for admin work related to the management of the vendor code of HCP/HCO/Suppliers: create, unblock, and update changes.

Compliance & Other Tasks:

  • Prioritize follow-up and tracking on adherence to the Code of Ethics, Compliance, and SOPs. Ensure the quarterly 1st line monitoring of the Business Unit's activities is completed on time and in full;
  • Ensure accurate control of documentation and coordinate with other functions to secure a high spirit of compliance for organizing meetings before and after events;
  • Coordinate with functional departments to conduct financial SOP training/ refresh training on administrative procedures for MKT/Field force team (eg. Post event payment process, vendor creation, vendor update, tracking post-event payment, etc);
  • Support on other internal company/BU events, such as NC, team meetings and ad-hoc projects.

Education, Qualifications, Skills and Experience

Essential

  • Bachelor’s degree
  • 2 years of experience in event management, administration tasks execution & monitoring
