It’s key we drive customer experience and drive improvements so our IT tools and services meet current and future needs of the business.

Global Conferencing is part of the IT organisation responsible for Skype for business, SMART IT, Video Conferencing and Virtual Meetings services respectively. The Virtual Meeting producer will join the global Video Conferencing and Virtual Meeting service team.

The Associate Virtual Meeting Producer will be responsible for customer engagement, planning, technical co-ordination and project management of Virtual Meetings globally across AZ sites.

Candidate Focus and Challenge

Project Management

  • Support the improvement of the Virtual Meeting delivery process and maintain effective implementation through each Virtual Meeting undertaken within the service
  • Creation and ownership of project documentation detailing requirements for meeting and establish clear roles and responsibility for delivery across customer and IT teams respectively
  • Leadership of wider IT teams engaged to deliver event across sites, countries and regions
  • Manage customer demand for complex and ad-hoc Virtual meetings against capacity across Virtual Meeting delivery team

Customer engagement

  • Leading virtual meeting inbox and meet with customers requesting support for upcoming events. Recommend approach and plan phases of process working directly with the customer team
  • Build network of contacts across business areas to promote Virtual Meeting service and capability
  • Customer orientated, solutions based approach
  • Ensure high standard of delivery is maintained and hold all event team members to account
  • Provide guidance and document SOPs and standards for training of to enable virtual meetings expertise and standard methodologies to be replicated across AZ sites, liaising with Campus IT and local teams. Recognised as a subject matter expert.

Supplier management

  • Engage directly with preferred suppliers to arrange, as required, production, connectivity and broadcast capability for each event
  • Hold supplier(s) to account for delivery and set clear roles and responsibilities
  • Develop relationships with key suppliers and partners

Communications

  • Build understanding of customer and audience requirements for Virtual Meetings
  • Tailor technical information in a simple to understand, customer facing way
  • Represent Virtual Meeting service through presentation of team and face to face at relevant IT showcase or AZ site events

Technical

  • Deep understanding of technology and capability of internal platforms with a view on new technologies to improve future events and integration into Virtual Meeting service
  • Creation of technology standards that enable IT and business teams to manage and deliver event taking place locally at sites across AstraZeneca
  • Build expertise in video conferencing, unified communications, broadcast and production technologies
  • Partner with technical teams operating equipment and platforms
  • Develop key metrics and supporting data demonstrating return on investments and total cost of ownership within service

Essential

  • Experience in delivery focused role(s) within a matrix organisation
  • Examples of developing and being a great partner with both customers and suppliers
  • Communication, facilitation and relationship building skills plus influencing and negotiating skills
  • Clear expectation management
  • Validated escalation management capability
  • Ability to work well in diverse, multinational teams and proven ability to influence others to achieve positive outcomes

Desirable

  • IT background is beneficial but not crucial
  • Live event, broadcasting or production experience also of benefit
  • Working knowledge of AZ locations, business areas and ways of working
  • Fully operational and experience across all aspects of the ITIL service management disciplines and lifecycle within their domain of expertise
