Project Coordinator, Alexion Business Operations

Introduction to role

The Project Coordinator provides high-quality project coordination for the Head of Business Operations and the Head of Health Equity for Alexion AstraZeneca Rare Disease (Alexion). The role requires a highly organized, proactive coordinator who will help translate Alexion’s strategic priorities into clear plans, disciplined execution, and measurable progress across enterprise business objectives. The role enables organizational effectiveness and operational efficiency across Alexion, the Office of the CEO, and Health Equity priorities. The Project Coordinator should have a continuous-improvement approach, strong resilience and agility, and exhibit sound judgment.

Key Accountabilities

Project Coordination

  • Coordinate project plans, timelines, achievements, dependencies, and deliverables for assigned business operations, health equity, Office of the CEO, and organizational effectiveness initiatives.

  • Maintain action trackers, decision logs, project documentation, contact lists, and shared workspaces to support transparency, accountability, and efficient execution.

  • Track progress against agreed deliverables, follow up with owners (often the Alexion Leadership Team (ALT) or their delegates), identify risks or opportunities, and advance issues with clear context and proposed next steps.

  • Organize recurring workstream meetings, prepare agendas, capture notes, document decisions and actions, and ensure follow-up through closure.

  • Prepare concise status updates, dashboards, summaries, and briefing materials that synthesize inputs for leaders and collaborators and support effective decision-making.

  • Drive continuous improvement by simplifying workflows, improving operating processes, and accelerating adoption of AI-enabled tools that increase organizational efficiency and effectiveness.

Business Operations

  • Translate strategic priorities into integrated plans, breakthroughs, and actions that strengthen organizational effectiveness, efficiency, and execution.

  • Act as a central coordination point between the Head of Business Operations, Head of Health Equity, Office of the CEO, leadership teams, functional partners, and external vendors as requested.

  • Serve as a trusted coordination partner who drives alignment, organizational improvement, and change.

  • Navigate ambiguity and shifting priorities with resilience and agility.

Administrative Support

  • Provide proactive administrative support for the Head of Business Operations and Head of Health Equity, including calendar management, scheduling, travel coordination, expense support, and routine business processes.

  • Coordinate meeting logistics across senior collaborators, functions, geographies, and time zones, ensuring leaders are prepared and follow-up is well organized.

  • Manage information flow, documents, distribution lists, files, and team operating rhythm materials to support timely communication and efficient ways of working.

  • Exercise discretion, professionalism, and confidentiality when handling sensitive business, people, and program information.

Scope and Interfaces

  • Internal stakeholders: Head of Business Operations, Head of Health Equity, Alexion senior leadership, Health Equity stakeholders, business partners, and cross-functional project teams.

  • External partners: Coordinate with external vendors or partners at the request of the Head of Business Operations or Head of Health Equity.

  • Primary customers/users: Business Operations, Health Equity, Alexion CEO, and Alexion leadership stakeholders.

Qualifications

Essential Criteria

  • 5+ years’ experience in project coordination, administrative support, business operations, or related roles supporting complex activities in a matrixed organization.

  • Bachelor's degree

  • Resilient, agile, and adaptable, with a demonstrated ability to lead through change and drive continuous improvement.

  • Champion adoption of AI-enabled tools and modern ways of working to improve productivity, efficiency, and organizational effectiveness.

  • Strong organizational, prioritization, communication, and follow-up skills, with excellent attention to detail and the ability to manage multiple deadlines.

  • Experience coordinating meetings, preparing agendas and materials, capturing actions, and maintaining trackers, documentation, and project records.

  • Ability to synthesize information into clear updates, summaries, and materials for senior stakeholders.

  • High level of professionalism, discretion, confidentiality, and sound judgment.

  • Proficiency in Microsoft Office and collaboration tools, with curiosity and agility to adopt digital and AI-enabled tools that improve efficiency.

Preferred Criteria

  • Familiarity with project coordination, PMO, or governance support methodologies.

  • Project management certification desirable.

  • Experience supporting senior leaders, executive-level forums, or cross-functional leadership teams.

  • Experience preparing executive-level presentations, reports, and briefing materials.

  • Interest in health equity, rare disease, business operations, organizational effectiveness, or enterprise transformation initiatives.

Travel

Travel to key hubs or offsite meetings as needed. Less than 10% travel.

The annual base pay (or hourly rate of compensation) for this position ranges from $96,520.00 to $126,682.50. Our positions offer eligibility for various incentives—an opportunity to receive short-term incentive bonuses, equity-based awards for salaried roles and commissions for sales roles. Benefits offered include qualified retirement programs, paid time off (i.e., vacation, holiday, and leaves), as well as health, dental, and vision coverage in accordance with the terms of the applicable plans.
