About the role
The EDO Operational Excellence Coordinator supports the performance of the EDO organization operational activities, working closely with the Head of the EDO and the EDO portfolio manager. Key activities include support of financial, procurement and HR processes enabling EDO delivery and compliance along with the facilitation of leadership operations such as meeting scheduling and facilitation along with information management.
Accountabilities
Exec Assistant support for the Head of the EDO (travel, calendar management, expenses)
Facilitation of EDO Leadership Team activities – meeting scheduling, travel support, mailing lists, broadcast coordination, recruitment
Support of EDO procurement activities: raising and tracking SoWs for the EDO, updating Service Now, support for some of the EDO license operations
Point of contact and EDO expert for enabling internal Procurement, HR and finance systems (Service Now (project information), COUPA & P2P (procurement), Concur (Travel & Expenses) and Fieldglass (contractor management)
Support of portfolio manager in organising portfolio information and communication, especially with report generation / management (project support work)
Information management coordination for the EDO LT and organisation – file management and access control
Assist in the organisation of key events, meetings and activities that drive the prioritisation and deliver of activities across the EDO
Administrative oversight of organization distribution lists
Limited EDO LT calendar support
Education, Qualifications, and Experience
Essential
2+ years progressive experience in IT business, financial or administrative management
Strong skills using the suite of Microsoft Office products, including Excel, PowerPoint, Teams and Sharepoint.
Desirable
Knowledge of Pharmaceutical business
Understanding of data and data governance in multinational organisations
Financial and HR processes in multinational organisations
Project management processes
