Accountabilities:

  • This role provides high-impact executive support to senior Enterprise AI leaders, combining calendar intelligence, stakeholder management and operational discipline. It owns complex, multi-time-zone scheduling, using AI tools to anticipate conflicts, prepare leaders for critical engagements and keep priorities on track. It manages international travel logistics, expenses and approvals through streamlined, automated workflows.

  • A key focus is AI-powered productivity. The Business Coordinator acts as an early adopter and champion of Microsoft 365 Copilot and similar tools—drafting communications, summarising email and Teams threads, and spotting opportunities to automate repetitive tasks with Power Automate and SharePoint. It maintains well-structured digital workspaces across SharePoint, OneNote and Teams so that information is easy to find and act on.

  • The role also anchors site logistics in Barcelona, coordinating AI showcases, internal hackathons, leadership off-sites and external partnership meetings from end to end. It partners closely with facilities and local teams to ensure visitors are supported and events run smoothly.

  • Communication and stakeholder management are central. Acting as a trusted liaison between Enterprise AI leaders and internal or external stakeholders, the Business Coordinator coordinates with Executive Assistants across the organisation to enable frictionless scheduling and information flow. It provides coverage for peers when needed and supports urgent matters across time zones to maintain continuity.

  • The role drives operational excellence and continuous improvement. It manages onboarding, transitions and offboarding for Enterprise AI leadership teams so new joiners can contribute quickly. It contributes actively to the global PA/AC community, sharing AI productivity insights and coaching colleagues on new tools and ways of working.

Essential Skills/Experience:

• 5+ years of administrative or executive support at VP level or above, ideally in technology/digital/data/transformation within a global organisation.
• Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint, OneNote, Word, Excel, PowerPoint) with a track record of materially accelerating executive productivity.
• Hands-on experience with Microsoft 365 Copilot or equivalent AI assistants (e.g., Claude, ChatGPT) for drafting, summarisation, and workflow support.
• Exceptional written and verbal communication skills in English; able to credibly represent senior executives.
• Proven ability to manage competing priorities and time-sensitive assignments with autonomy, judgment, and a bias for action.
• Effectiveness in a global, matrixed organisation across time zones, functions, and cultures.
• Intellectual curiosity about AI and its business applications; enthusiasm for learning and adopting new tools.
• High discretion, confidentiality, and professional maturity with sensitive/strategic information.
• High School Diploma or equivalent required; bachelor’s degree preferred.

Desirable Skills/Experience:

• Prior experience supporting a VP-level or above technology, digital, or AI leader in a large/global enterprise.
• Exposure to enterprise AI, data science, digital transformation, or technology strategy, enabling accurate and contextually relevant briefings.
• Experience supporting large-scale organisational change, including communications and stakeholder logistics.
• Familiarity with SAP Concur, Coupa, or similar expense/procurement platforms.
